Overview

Resources is your plan of who works on the project and how much. You define roles (Senior engineer, Designer, Project manager), assign people to those roles, and allocate hour pools per phase. The plan is the reference your Timesheets roll up against.

This is not a full HR system. It is the lightest possible model that lets you compare planned vs actual hours and spot overruns before they become invoices.

When to use it

  • At project setup, after the LoE is roughly settled.
  • When forecasting whether you have the capacity to take a new project on.
  • When the client asks "how many hours have you spent on this so far?"

How it works

1. Define roles

Roles live at organisation level — define them once. Each role has a default rate (used for cost rollups in BoQ and Timesheets).

2. Allocate to phases

For each project phase, set how many hours each role is expected to spend. The numbers usually come from the LoE.

3. Assign people

Map specific team members onto role allocations. One role can have several people; one person can hold several roles.

4. Track

Burn-down per role and per phase is shown live as Timesheets are submitted.

Tips

  • Keep role definitions stable across projects; comparing apples-to-apples on time spent is otherwise impossible.
  • Re-baseline the plan when scope changes materially — do not let the original plan drift quietly into fiction.
  • Use phase-level allocation, not per-task. Task-level resourcing creates more admin than insight.
